Book meetings with Calendly

Add the Book a meeting (Calendly) power-up so that when a visitor asks for a demo, a call or an intro chat, your bot opens your Calendly event's own booking form in the conversation.

Who can do this: team owners and admins.

No account connection needed

There's no OAuth, no API token and nothing to install in Calendly. Paste your event link and you're done.

What this power-up can't do

Calendly's scheduling API is a paid Calendly add-on, so this power-up doesn't use it. As a result:

  • The bot can't read your availability. It never lists times in the conversation. It opens the form and Calendly shows the times.
  • The bot can't cancel or reschedule. Calendly's confirmation email has the reschedule and cancel links, and the bot points visitors there.
  • The bot can't look up a booking afterwards. It knows a booking happened because the form tells the chat, but it doesn't read anything back from Calendly.

If you want the bot to offer times in the conversation, book them itself and cancel on request, use Book meetings with Cal.com instead.

Steps

  1. Open your bot, go to the Power-ups tab and click New power-up.
  2. Choose Book a meeting (Calendly) and click Create power-up.
  3. Under Your Calendly event, paste your event link into Event link. This is the link you'd normally share, for example https://calendly.com/your-name/intro-call. The bare your-name/intro-call path works too.
  4. Edit the Description so your bot knows when to offer a meeting. This has the biggest effect on whether the power-up gets used. For example: "Use this when the visitor wants a demo, a call or an intro chat, or asks when we're free."
  5. Click Save.

Use one event, not your scheduling page

https://calendly.com/your-name is your scheduling page, which lists several events. Open the event you want visitors to book and paste its link. The settings page rejects a scheduling page link, because the bot books one event.

What visitors see

In the web widget the bot opens your Calendly form inside the chat, sized to the widget and matched to its light or dark theme. The visitor's name and email are filled in from what the conversation already knows, so most people only need to pick a time. When they finish, the chat records the booking and the bot thanks them.

On Slack, WhatsApp, Telegram, email and the API there's no form to embed, so the bot sends the booking link, filled in the same way, and asks the visitor to finish there.

Track bookings back to a conversation

Every link and form this power-up opens carries two UTM parameters: utm_source=chatthing and utm_content=chatthing: followed by the conversation ID. Calendly stores them with the scheduled event, so you can see which bookings came from your bot in Calendly and in any analytics connected to it. They're plain tracking parameters: nothing private is sent in them, and they don't change what the visitor sees.

Check it works

  1. Chat with your bot and ask to book a call.
  2. Complete the Calendly form in the chat.
  3. Check that the booking appears in Calendly and that the bot acknowledges it.

Troubleshooting

You've probably pasted your scheduling page (https://calendly.com/your-name). Paste the link of a single event instead.

A visitor asks the bot to change or cancel their booking

The bot will tell them it can't, and point them to the reschedule and cancel links in Calendly's confirmation email.
